1. Send the link
A QR code or shortlink that anyone can use. Coordinators print it, message it, or stick it on the wall at the office. Each link is scoped to a specific event and role group.
2. Crew fills the form
Personal info, role preferences, dietary needs, emergency contact. Conditional fields: drivers get the licence section, security staff get their certifications, riggers get the competence fields. No one fills fields they don't need.
3. Confirm and upload
The contract is presented in the right language and stored alongside the worker record. ID and certifications are uploaded in the same flow. Coordinators see who's complete and who's missing what.

Visibility, not chasing
The operator dashboard shows onboarding status across the whole crew. Who's complete. Who's missing a contract. Who hasn't uploaded ID. Filter by group, role or shift, and the gap is visible at a glance.
Reusable across events
Returning crew don't redo the whole flow. Their record carries over, contracts are re-issued for the new event, and the gaps from the previous run are surfaced instead of buried.
Compliance built in
Age requirements, role qualifications and document expiry are tracked as part of the record. Audit-ready by default; the file system isn't an afterthought.
First shift is the test
If the worker is onboarded, has ID on file and is on the roster, QR clock-in works. If anything is missing, the system flags it before the shift starts, not when the auditor shows up six months later.
